Content Coach guidelines
Long subject line: Subject lines should ideally be less than 60 characters long
Spam filter phrases: Your email should not contain any spam phrases
Long email content: To ensure effective communication, keep your outreach emails under 700 characters and your follow-up emails under 400 characters
Too many links: Limit the number of links in your email to 2 or less
Too many images: Try to limit the number of images in your email to 3 or less
Not enough custom fields: Your email should contain at least 3 custom fields
Flesch-Kincaid grade level: The Flesch-Kincaid grade level of your email should be 8 or less
Long sentences: Your email should ideally not contain any long sentences (more than 20 words)
Title case: The subject line of your email should be in title case. Not using title case is considered a "warning"
Numbers or punctuation: Avoid numbers and punctuation in the subject line
Question asked: Your email should contain a question
Cliche phrases: Avoid cliché phrases in your email
Hedging phrases: Your email should not contain any hedging phrases
Uncommon words: Your email should not contain any uncommon words and use neutral language to help appeal to diverse audiences
I:You ratio: The ratio of 'I' (or company name or 'we') to 'You' in your email should be 1:2 or higher
Reading time: The estimated reading time for your email should ideally be 20 seconds or less
Each of these rules contributes to a total score. Scores of 70 to 80 are considered "needs work", scores of 80 to 90 are considered "almost there" and scores of 90 or above are "good to go".
Our Content Coach will also highlight the relevant part of the text in your outreach message that needs work, to make the editing process as streamlined and efficient as possible.
